Plan the journey together

Group travel planning: organise the road journey

Group travel planning starts with one shared itinerary: who is travelling, where you need to be and when everyone needs to return.

We help groups organise road transport from our Kāpiti Coast base across Wellington, the Hutt Valley, Wairarapa and Palmerston North.

Start with people and luggage

Nominate one organiser to gather names, passenger numbers and boarding needs. Count suitcases and equipment separately from people, using our group luggage guide. Our minibus with driver guide helps you decide whether a driven group journey suits the occasion.

Build a run sheet everyone can use

Write down each collection address, the time you must arrive and a contact for that stop. Work back from the event's start, leaving room for loading and getting from the drop-off point to the entrance. Keep the organiser's phone number on the same sheet.

  1. Outward: pickup addresses, passenger totals and arrival deadline.
  2. During the day: any extra movements, equipment or planned waiting.
  3. Return: collection point, departure time and final destinations.

Match the plan to the occasion

A work itinerary needs meeting times and a named coordinator: start with corporate transport. Weddings need guest collection and return arrangements; see wedding guest transport. For fixtures and tee times, use our sports team and golf day transport guides to include equipment and finish-time changes.

Set a budget from the whole route

Use the bus charter cost worksheet to turn your itinerary and confirmed quote into a group budget. Couples can use the wedding shuttle cost guide to compare guest departure patterns. Once quotes arrive, compare what each shuttle quote includes before collecting contributions.

Give the return trip its own plan

Agree who will count passengers and contact us if the event runs late. Our event return transport guide covers the trip home, while the Christmas function guide helps workplace organisers coordinate an evening out. Additional transport costs apply between 10pm and 7am, so include the proposed finish time in your enquiry.
