Make the journey work for you

Build the plan around the first commitment

Start with the time delegates need to be ready at the venue, rather than the advertised presentation time alone. Include registration, setup and any equipment unloading. Give the exact entrance or meeting address when you have it, and ask the venue which vehicle access arrangements apply.

  • Nominate an organiser who can approve the final itinerary.
  • Separate delegates arriving by air from those joining at an office or hotel.
  • Identify any fixed commitments, such as speaker setup or an onward flight.
  • Record the planned finish time and how you will communicate a change.

Use a delegate movement brief

Avoid combining separate arrival waves into one vague pickup time. If delegates land on different flights, list the flights individually and ask what arrangement is practical. Vehicle availability and the agreed itinerary determine what can be booked.

Account for people and presentation gear

A headcount does not describe the whole load. Tell us about display cases, banners, laptops in cases and overnight bags. Connect’s Ford Transit page describes a storage trailer option and no onboard luggage bay; ask what is suitable for your equipment. Keep the existing vehicle page as your reference for that vehicle’s published features.

Example brief: “Team meeting in Wellington on [date]. [Number] people leave our Kāpiti office, with [equipment list]. Ready at venue by [time]. Return after [finish time], with [number] people continuing to a different address. One organiser will confirm all changes.”

Agree the commercial details before confirming

Request the price for the complete itinerary, including additional stops or separate return movements. Ask what happens if the conference runs late and who should notify Connect. Confirm any invoice or receipt requirements directly; account terms and payment arrangements should not be assumed. Connect advertises EFTPOS and major credit-card payment on board.

Before you book

Can we combine flights and a conference transfer?

Send every flight and movement in one enquiry so Connect can assess the itinerary. Do not assume a vehicle can wait indefinitely between arrivals.

Is a specific vehicle guaranteed?

Ask for the vehicle and luggage arrangement to be confirmed for your group and date. You can review the Ford Transit page before enquiring.

What if the meeting finishes late?

Agree how changes and any additional time will be handled when booking. Tell Connect promptly if the schedule changes; availability for an extension must be confirmed.
